Job Summary
The Back Office Executive in a medical store is responsible for handling administrative tasks, maintaining records, assisting with billing, managing inventory updates, and supporting daily operations to ensure smooth functioning of the store.
Key Responsibilities
1. Billing & Documentation
Prepare and maintain daily sales bills.
Handle purchase bills and vendor invoices.
Maintain accurate records of medicine batches, expiry dates, and stock reports.
Update customer records and maintain files.
2. Inventory Management
Enter stock details into the system (Tally / MS Excel / Medical billing software).
Assist with stock checking and update shortages.
Track expired or near-expiry products and update management.
Coordinate with suppliers for purchase and stock returns.
3. Administrative Work
Manage daily reports: sales, purchase, stock, and return reports.
Maintain data entry of all transactions.
Support store staff in operational workflow.
4. Customer Support (Back-End)
Resolve customer queries over phone (if required).
Provide support to counter staff for billing or stock lookup.
5. Compliance & Record Keeping
Maintain GST, purchase, and medicine-related documentation.
Keep records as per medical shop standards and government norms.
Required Skills
Good knowledge of MS Excel / Tally / Medical Billing Software.
Strong communication and organizational skills.
Basic understanding of medical products (optional but preferred).
Ability to manage data and work accurately.
Attention to detail for billing and expiry tracking.
Qualifications
Minimum 12th pass / Graduate preferred.
Experience in medical store back office or data entry is an advantage.
