A Purchase Executive is responsible for sourcing, negotiating, and purchasing materials, goods, and services required by the company. They ensure that procurement activities are cost-effective, timely, and meet quality and compliance standards. The role involves supplier management, inventory coordination, and supporting smooth operations through efficient procurement practices.
Procurement & Purchasing
Identify and source reliable suppliers and vendors.
Request and compare quotations to ensure competitive pricing.
Negotiate contracts, terms, and delivery schedules.
Issue purchase orders and track order status until delivery.
Vendor Management
Maintain and update the approved vendor list.
Develop strong supplier relationships to ensure dependable supply chains.
Evaluate vendor performance based on quality, price, and delivery timelines.
Inventory & Material Management
Coordinate with stores and production teams to determine material needs.
Monitor inventory levels to prevent shortages or overstocking.
Support just-in-time (JIT) inventory practices where applicable.
Documentation & Reporting
Maintain accurate purchase records, invoices, and payment documents.
Ensure all procurement activities comply with company policies and procedures.
Prepare periodic purchase reports for management review.
Cost Control & Budgeting
Identify opportunities for cost reduction and process improvement.
Ensure procurement within approved budgets.
Participate in annual budgeting and forecasting for materials procurement.
Coordination & Communication
Work closely with accounts, production, and logistics departments.
Resolve any delivery, quality, or payment discrepancies with suppliers.
Communicate effectively with internal departments about material availability.
Bachelor’s degree in Business Administration, Supply Chain Management, Commerce, or related field.
1-2 years of experience in purchasing, procurement, or supply chain roles.
Knowledge of procurement software or ERP systems (e.g., SAP, Oracle, Tally, Zoho, etc.).
Strong negotiation and analytical skills
